OUR COMMITMENT TO YOUR SAFETY

Your safety has always been one of our top priorities, and now more than ever. We’ve implemented new guidelines and policies to make our events and venues the cleanest and safest places to meet and do business. Every attendee, including visitors, exhibitors, partners and staff are expected to comply with our health and safety requirements.

This Health & Safety protocol was created in partnership with SGS and is designed to ensure your safety and peace of mind while attending our event..

To ensure the safety of the event, everyone entering will be required to provide a:

  • Valid Covid Safe Ticket
  • Identity Card
  • Valid entry ticket

Verifying COVID-19 status

In line with latest government guidance [Name of event] will verify attendee COVID-19 status on arrival at the event. All attendees will need to demonstrate proof of COVID-19 status for entry to the event. This will need to be one of the following:

For our trade show everyone must present a Covid Safe Ticket: visitors, exhibitors, stand personnel and Easyfairs staff. A valid Covid Safe Ticket is issued to:

  • Holders of a valid vaccination certificate who have been fully vaccinated for more than 2 weeks
  • Holders of a recovery certificate less than 6 months old
  • Those who have a negative PCR test taken no more than 48 hours prior to the trade show
  • Those who have a quick antigen test administered by medically trained personnel no more than 24 hours prior to the trade show.

Take into account that a PCR test has a limited validity of just 48 hours after the day of testing. Antigen tests are only valid for 24 hours after the day of testing. In other words, you may have to get tested again during the trade show.

If you do not have a Covid Safe Ticket, you can have yourself tested on the spot for a fee (10€ per test).

CLEANING & HYGIÈNE

Comprehensive cleaning and disinfection protocols

All surfaces at an Easyfairs event are treated with hospital-grade disinfectants. The most frequently touched surfaces will be disinfected at regular intervals.

Hand hygiene

Hand sanitiser stations will be available everywhere on the exhibition floor and in common areas such as seminar theatres. Please make good use of them!

Smart Badge contactless technology

Description automatically generated The safest way to visit an event is by using our Smart Badge, which requires no physical contact and guarantees a 100% safe event experience. You will receive your Smart Badge at the entrance after having scanned the barcode on your printed voucher or mobile device. Thanks to the embedded NFC chip you can swipe your badge on readers distributed throughout the event to gather product and stand information. At the end of the day you receive all collected information via email.

Cashless payment

To protect your health and safety, we only accept cashless payments

Food & Drinks

You can still purchase food and drinks at our events and venues. Our caterers will respect all the security rules that are imposed by the government.

Physical distance

Social distancing

We recommend that attendees and visitors respect the 1,5 meter distance where possible.

OPTIONAL: ADD ONLY IF APPLICABLE TO THE EVENT Crowd density standards To ensure appropriate physical distancing during Easyfairs events we will control the number of people present in the event halls at all times, in accordance with local guidance.
REGISTRATION OPTION 1: Online registration and touchless scanning Please register online before the event, as registration onsite is not possible. You can either print out your admission voucher, which has a barcode, or bring it on your mobile device. You will then be able to scan the barcode at one of our touchless scanning stations. Please note that for your safety, onsite printing is no longer possible.
REGISTRATION OPTION 2: Online ticket sales Please purchase your ticket(s) online before the event, as this will not be possible onsite. You can either print out your ticket, which has a barcode, or bring it on your mobile device. You will then be able to scan the barcode at one of our touchless scanning stations. Please note that for your safety, onsite printing is no longer possible.
OPTIONAL: ADD ONLY IF APPLICABLE TO THE EVENT: One-way aisles and directional walkways At this event, we have implemented one-way aisles and/or directional walkways. One-way-only aisles will help to manage traffic and minimise crowding. They will also make it easier for you to respect the social distancing rules and avoid crossing the paths of other visitors and fellow exhibitors. On paths where there is enough room for people to walk in both directions, please keep to your side as indicated by the directional arrows.
OPTIONAL: ADD ONLY IF APPLICABLE TO THE EVENT: Maximum capacity in conference rooms Conference areas will also allow for social distancing, with 1.5 metres between chairs. This means there will be limited capacity, so please arrive early. Some chairs may be marked as unavailable. Please respect this instruction and do not move the chairs.

Stay home if you feel ill

Finally, as much as we want to see you at our events, we kindly ask you to respect everyone’s health and safety. If you feel at all ill – including mild cold symptoms or a high temperature – please stay at home.

Personal protection

Temperature screenings Automatic temperature screenings before you enter the event will tell us if you have a temperature of 38° or above. If this is the case, take a seat in the designated area for ten minutes and we will measure your temperature again. If on a second screening your temperature has fallen below 38°, no problem, welcome! If your temperature is still above 38°, we will be unable to grant you admission. We recommend that you check your temperature before leaving home as a precaution and to avoid any inconvenience.

Face Masks

Face masks are not obligatory at our event. We kindly recommend that you wear a face mask upon entering the event, especially in closed or crowded spaces.

Plexiglass shields

Plexiglass shields will be installed at registration desks, information points, catering points and all counters staffed by team members throughout the event floor.

Crowd density standards To ensure appropriate physical distancing during CCR we will control the number of people present in the event halls at all times, in accordance with local guidance.
Elbow bumps replace handshakes! Handshakes are “on hold” for the time being! We know this is tough, as a handshake is the natural form of business greeting. We suggest you greet with an elbow bump. Alternatively, a nice “air kiss” is a friendly way to greet. A simple wave or a thumbs-up will also do nicely. So long as the greeting is without physical contact … feel free to use your own style.

If you register more than 3 weeks prior to the event, you will more than likely receive  your badge in the post saving you time and eliminating overcrowding at registration. 
Online ticket sales If you are registering for ISAPS Symposium UK, Tapan Patel’s Anatomy & Cadaver Masterclass or the ACE Group World Conference, please purchase your ticket online in advance, as this will not be possible onsite. You can either print out your ticket, which has a barcode, or bring it on your mobile device. You will then be able to scan the barcode at one of our touchless scanning stations.
Registration timeslot We will make it convenient for you to register for a specific timeslot so that we can ensure the appropriate checks are made on arrival, while saving you time. You can amend the time slot you selected when registering, by using your registration key that you will find in your confirmation email.
Online assistance By consulting our website you’ll be able to make your visit as efficient as possible. You can use the exhibitor catalogue and content programme to plan which companies and products you would like to see, and which seminars to attend.  We kindly advise you to plan ahead so you can arrive on time for any seminars, as places may be limited due to social distancing measures.
